Event and birthday party booking
Thank you for your interest in booking an event or birthday party with Courtside! We’re delighted to help make your guest’s special day one to remember. Please read these Terms & Conditions carefully before your booking is confirmed. By completing your booking and payment, you agree to be bound by these terms.
1. Booking & payment
- All event and birthday party bookings must be made in advance and are subject to availability
- Full payment is required at the time of booking to secure your date and time slot
- Bookings are not confirmed until payment has been received in full and you have received a written confirmation from Courtside
- Prices are as stated at the time of booking. We reserve the right to amend pricing for future bookings
2. Cancellations & refunds
- Cancellations made 14 or more days before the party date: a full refund will be issued, less a £25 administration fee
- Cancellations made 7–13 days before the party date: a 50% refund will be issued
- Cancellations made fewer than 7 days before the party date: no refund is available
- In the event that Courtside is required to cancel your booking (e.g. due to unforeseen circumstances or venue closure), you will receive a full refund or the option to rebook at an alternative date
- Courtside strongly recommends that customers consider appropriate personal event insurance
3. Rescheduling
- One rescheduling request will be accommodated at no extra charge, provided it is made at least 7 days before the original party date and is subject to availability
- Requests to reschedule with fewer than 7 days’ notice will be treated as a cancellation and the relevant cancellation policy will apply
4. Event/party packages & inclusions
- Your booking confirmation will set out the specific package, duration, number of guests included, and any additional services agreed
- Party packages are designed for the number of children stated at the time of booking. Additional guests beyond the agreed number may incur extra charges and must be agreed in advance
- Courtside reserves the right to substitute equivalent activities or equipment where necessary without notice
5. Supervision & safeguarding
- A responsible adult (parent or guardian) must remain on site for the duration of the party and be contactable at all times
- Children must not be left unsupervised at any point within the venue
- If a Courtside Coach has been booked then, all Courtside staff working with children hold current DBS checks and are trained in safeguarding
6. Health, safety & medical information
- Please inform us of any relevant medical conditions, allergies, or additional needs for any child attending the party at the time of booking, or as soon as they become known
- Courtside is not responsible for any adverse reactions arising from information not disclosed prior to the event
- Participants take part in activities at their own risk. Courtside holds full public liability insurance
- In the event of an accident or emergency, Courtside staff will administer first aid and contact emergency services where necessary
7. Behaviour & conduct
- We ask all children and accompanying adults to treat staff, other guests, and the venue with respect
- Courtside reserves the right to remove any individual from the premises if their behaviour is deemed unsafe, threatening, or disruptive, without liability or refund
- Any damage to Courtside equipment or property caused by guests may be charged to the booking party
8. Food & drink
- External food and drink is not permitted to be brought on to the premises by guests
- You are welcome to bring a birthday cake. Please advise us in advance so we can make appropriate arrangements
- Courtside is a nut-aware venue. Please ensure any cake or food items brought on site are free from nuts
- Alcohol is not permitted to be brought on to the premises by guests unless agreed in writing in advance
9. Photography & media
- Courtside staff may take photographs during the party for our own promotional use. Please inform us at the time of booking if you do not consent to this
- Guests are welcome to take photographs for personal use. Please be mindful of other children who may not have parental consent to be photographed
- We ask that any images shared publicly on social media do not feature children other than your own without the express permission of their parents or guardians
10. Liability
- Courtside Hubs CIC shall not be liable for any indirect, consequential, or special loss arising from a booking
- Our liability in respect of any booking shall not exceed the total amount paid by you for that booking
- Nothing in these Terms & Conditions excludes or limits our liability for death or personal injury caused by negligence, or any other liability which cannot be excluded or limited by law
11. Data protection
- Personal information collected in connection with your booking will be processed in accordance with our Privacy Policy and the UK General Data Protection Regulation (UK GDPR)
- We will not share your data with third parties for marketing purposes without your consent
13. Governing law
- These Terms & Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
14. Agreement and acceptance
- By submitting an event/party enquiry, and or booking an event/party you confirm that you have read, understood and agreed to these terms & conditions on behalf of yourself and all guests attending your event/party.
